How to Change Clinical Module (AllScripts EHR) Security Profile Password

These instructions are to assist you with changing your Clinical Module (AllScripts EHR) Security Profile Password (this is needed for those providers that prescribe electronically using EPCS). **NOTE** Starting 9/5/20 the Security Profile Password must be at least 10 characters in length and contain characters from ALL of the following four categories:

  • English uppercase characters (A through Z)
  • English lowercase characters (a through z)
  • Numerical characters (0 through 9)
  • Special characters (for example, !, $, #, %)

A. Manage Security Profile:

  1. Go to Menu > Manage Security Profile.

B. New Password Link:

  1. Click the words “Click here to Create New Password”.

C. Create New Password:

  1. Enter your current EHR password.
  2. Enter and then re-enter your new Security Account Password following the criteria specified.
  3. Click OK. 

Note: You may be presented with the circling arrow for several seconds. This is normal as it processes the change in password.

D. Successful Change Notification:

  1. Click OK on the screen stating your password change was successful.

E. Close Window:

  1. Click OK on the main Security Account Information window to close it and return to Allscripts EHR.

How to Reset your Password from your MAHEC Device On Site

If you are on site at a MAHEC location, change your password by hitting Ctrl+Alt+Del and selecting Change Password (requirements below). Once you have successfully changed password, you will need to immediately REBOOT the device or your account will lockout.

Passwords must meet the following requirements:

  1. Passwords must meet the following minimum requirements:
    • Not contain the user name or parts of the user’s full name
    • Be at least 10 characters in length
  2. Contain characters from ALL of the following four categories:
    • English uppercase characters (A through Z)
    • English lowercase characters (a through z)
    • Numerical characters (0 through 9)
    • Special characters (for example, !, $, #, %)

DataClear

DataClear is for requesting Mission or HCA data for MAHEC GME Research.

If your research uses Mission Hospital data but is not GME Research, please use the External Data Release (EDR) process.

What is DataClear?

DataClear is and HCA GME system used to request data sets from Mission Hospital for GME Research. You can request data from Mission Hospital, the NC Division, or all HCA Hospitals. There is an associated Data Dictionary with details. All data requested via DataClear will be de-identified before delivery. Data will only be viewed via the Virtual Desktop Interface (VDI). The VDI includes statistical packages from R or SPSS (not SAS).

CARRIE is the first step of the IRB process for MAHEC GME researchers at MAHEC. You will be asked questions to determine whether your project is exempted from further IRB Review.

What is an Institutional Review Board (IRB)?

An Institutional Review Board (IRB) is an ethics committee tasked with protecting the rights and well-being of humans involved in research. You learned about this when you completed your required CITI training in protection of human subjects.

PubClear is for researchers using Mission Hospital data AND with GME researchers.

All research done with Mission Data requires clearance before dissemination of results.

  • If your research does not use Mission Hospital data, you don’t need PubClear.
  • If your research does use Mission data but does not include GME researchers, please see External Data Release (page under construction).

What PubClear is…

PubClear (Publication Clearance) is an HCA process to review Mission Hospital/HCA Healthcare publications before external dissemination. PubClear looks for legal issues (e.g. PHI, copyright, etc.), privacy issues (e.g. HIPAA), and publications that may impact service line policies and practices.
You must receive PubCLEAR approval before releasing any information outside of Mission Hospital/HCA Healthcare, including but not limited to:

  • research abstracts
  • submissions to peer-reviewed journals, professional society journals and/or blogs
  • poster presentations
  • live or recorded presentations, and
  • any public dissemination of Mission Hospital/HCA Healthcare data.

What PubCLEAR isn’t….

  • Permission to do research
  • Peer review of your product
  • An endorsement of your product’s results
  • A retroactive approval of products already released

How long does clearance take?

Initial review can take up to 30 days. Time to final approval is not guaranteed.

Training for Investigators and Key Personnel Conducting Human Subjects Research

The Department of Research at UNC Health Sciences at MAHEC requires that any MAHEC or UNC Health Sciences at MAHEC faculty, providers, employees, learners, and affiliates seeking to engage in research and evaluation activities maintain current training credentials in the protection of Human Subjects and Conflicts of Interest.

 For Mission IRB, Choose the Human Research course based on your research project.

  • Conflict of Interest mini-course – Conflict of Interest (ID 60486)
  • AND
  • Human Research – Group 1. Biomedical Research Investigators and Key Personnel (ID 885)
    • For clinical outcomes research, using data from clinical encounters with patients, e.g. retrospective chart review.
  • OR
  • Human Research – Group 2. Social / Behavioral Research Investigators and Key Personnel (ID 886)
    • Social and behavioral research explores how and why people behave the way they do in certain situations; e.g. surveying a group of residents about their simulation training.

NEW Users:

  2. Add an Institutional Affiliation – Mission Health System.
    1. Adding the Affiliation will harmonize your previous training records.

    1. Would you like to take the Conflict of Interest mini-course? Answer Yes.
      1. If you have taken the course previously, answering “Yes” will only bring up the module if your training has expired.
    2. Select the group appropriate to your research activities. 
    3. Select the group for which you have previously completed an institutionally approved Basic Course in the Protection of Human Subjects. Pick whichever, but *BE SURE TO PICK ONE* or it will assume you haven’t taken one and erase any record that may exist.

    • On the next screen, View/Print the Completion Certificate (Report not necessary)
    • Download a copy of the certificate with the training expiration date.
  • Note for NIH Researchers: Researchers associated with the NIH may have completed NIH training in Protecting Human Research Participants (PHRP). While the PHRP training is no longer offered by the NIH, certificates previously obtained do not expire. Mission IRB will accept the NIH training module in lieu of the CITI Basic Biomedical Training.

Block Email in Outlook

In the event, you wish to immediately block an email that you recieve instead of reporting as junk.

Block a sender in Outlook Client

When you no longer want to see messages from someone, you can block a sender.

  • Right-click a message from the sender you want to block, and then click Junk > Block Sender.

The blocked person can still send you mail, but if anything from his or her email address makes it to your email account, it’s immediately moved to the Junk Email folder. Future messages from this sender will go to your Junk Email folder or End-User Quarantine if enabled by your administrator.

It’s a good idea to periodically review email messages identified as junk to make sure you’re not missing important messages.

Block Sender in Outlook Web

  1. Select SettingsSettings button > View all Outlook settings.

  3. If you want to block an email address, enter the email address in Blocked senders and select Add. If you want to block all email from a domain, enter the domain name in Blocked domains and select Add.A screenshot of the blocked senders box
  4. Select Save.

How to Run MAHEC Financial Budget Report in Workday

Search for MAHEC FIN Budget. Press Enter.

Pull up MAHEC FIN Income Statement – Budget to Actual.

Put in the Period you want to look at, the beginning FY 2020 will mean FY 2020 as in 2019-2020 Fiscal Year.  Put the Cost Center you want to review in the Budget Worktag and in the Actual Worktag.  Lastly, put in the Plan Name (only applicable for a couple of months as we switch years).  As of June 2020, the current year is FY 20, and the coming cycle will be FY 21. 

This will give you a report of the current period compared to budgeted period.  The prior period which would be April since I was looking at May.  Then the Year To Date which would be from July to May in this case but July to whatever period you selected, for the budget and the current actuals.

You can also click the little arrow beside any of the blue numbers.  And drill down on numbers further.

Accessing MAHEC Citrix Applications from Non-MAHEC Device

You need Citrix Workspace installed to access MAHEC Citrix Applications.  MAHEC devices have these pre-installed but if you will be using a personal device, you will need this installed.  You will also need to be enrolled in DUO Mobile to access MAHEC Citrix Applications off campus.

Installing Citrix Workspace

You will need to install Citrix Workspace to access certain MAHEC Applications.

  1. Download Citrix Workspace from https://www.citrix.com/downloads/workspace-app
    • For Windows:  Choose Workspace App for Windows and install by following the on screen instructions
    • For Mac:  Choose the Workspace App that will run on your macOS.
      • TIPS for Mac installations:  The newest version of Workspace only runs on Sierra (10.13) and above.  If your current macOS is one before Sierra, you’ll find different version in the link Earlier Versions of Workspace app for Mac.  If you are unsure of your macOS, click the Apple in the top left corner and choose About This Mac.
  2. Once it’s installed, Workspace will ask you to Add an Account.  When the window displays enter ehr.mahec.net then click Add.  Next you’ll login with your network credentials.
