How to Reset your Password from your MAHEC Device On Site

If you are on site at a MAHEC location, change your password by hitting Ctrl+Alt+Del and selecting Change Password (requirements below). Once you have successfully changed password, you will need to immediately REBOOT the device or your account will lockout.

Passwords must meet the following requirements:

  1. Passwords must meet the following minimum requirements:
    • Not contain the user name or parts of the user’s full name
    • Be at least 10 characters in length
  2. Contain characters from ALL of the following four categories:
    • English uppercase characters (A through Z)
    • English lowercase characters (a through z)
    • Numerical characters (0 through 9)
    • Special characters (for example, !, $, #, %)

*Starting 9/5/2020 Providers that Electronically Prescribe from EPCS – You will need to go update your Clinical Module (AllScripts EHR) Security Profile Password to meet these new requirements. Click instructions and follow to change password to meet the new requirements.

Block Email in Outlook

In the event, you wish to immediately block an email that you recieve instead of reporting as junk.

Block a sender in Outlook Client

When you no longer want to see messages from someone, you can block a sender.

  • Right-click a message from the sender you want to block, and then click Junk > Block Sender.

The blocked person can still send you mail, but if anything from his or her email address makes it to your email account, it’s immediately moved to the Junk Email folder. Future messages from this sender will go to your Junk Email folder or End-User Quarantine if enabled by your administrator.

It’s a good idea to periodically review email messages identified as junk to make sure you’re not missing important messages.

Block Sender in Outlook Web

  1. Select SettingsSettings button > View all Outlook settings.

  3. If you want to block an email address, enter the email address in Blocked senders and select Add. If you want to block all email from a domain, enter the domain name in Blocked domains and select Add.A screenshot of the blocked senders box
  4. Select Save.

Accessing MAHEC Citrix Applications from Non-MAHEC Device

You need Citrix Workspace installed to access MAHEC Citrix Applications.  MAHEC devices have these pre-installed but if you will be using a personal device, you will need this installed.  You will also need to be enrolled in DUO Mobile to access MAHEC Citrix Applications off campus.

Installing Citrix Workspace

You will need to install Citrix Workspace to access certain MAHEC Applications.

  1. Download Citrix Workspace from https://www.citrix.com/downloads/workspace-app
    • For Windows:  Choose Workspace App for Windows and install by following the on screen instructions
    • For Mac:  Choose the Workspace App that will run on your macOS.
      • TIPS for Mac installations:  The newest version of Workspace only runs on Sierra (10.13) and above.  If your current macOS is one before Sierra, you’ll find different version in the link Earlier Versions of Workspace app for Mac.  If you are unsure of your macOS, click the Apple in the top left corner and choose About This Mac.
  2. Once it’s installed, Workspace will ask you to Add an Account.  When the window displays enter ehr.mahec.net then click Add.  Next you’ll login with your network credentials.

Accessing MAHEC Citrix Applications

You need Citrix Workspace installed to access MAHEC Citrix Applications.  MAHEC devices have these pre-installed but if you will be using a personal device, you will need this installed.  You will also need to be enrolled in DUO Mobile to access MAHEC Citrix Applications off campus.

Running Citrix Workspace from a MAHEC Device on Campus

You can open Citrix Workspace from on Campus.

1. Open Citrix Workspace. You can start typing Citrix on Start to locate Citrix Workspace. There is also a shortcut on your taskbar

2. You will be brought to the Home Screen.

3. Click the Apps tab at the top of the screen.

4. Click the above the applications that you would like to appear in your Home tab.

5. Click the middle of the application icon to open App.

Running Citrix Workspace from off Campus from MAHEC Device

When accessing Citrix Workspace from off campus, it is best if you use a web browser.

  • Type ehr.mahec.net into a web browser.
  • Citrix login screen appears.
  • Enter User name and password you set up earlier through the Password Reset server, click Log On.
  • You will then receive a prompt from DUO Security (depending on your default settings – see How to Guide for DUO Mobile).
  • Click the Apps tab at the top of the screen.  Click the  above the applications that you would like to appear in your Home tab.
  • For MAHEC Share access, from the APPS screen, launch Home Drive – Remote.
  • Now you may browse to +SHARES+ to access shared materials, or work with your own personal documents in this space.  You may also launch Word, Excel, etc. to create new documents and save to your Home Drive.

Saving Files on MAHEC Network File Servers and Accessing +SHARES+

Saving Files on Network File Servers

To save files on a network file server from a MAHEC device, you will choose the drive with your username.  For example a user with the username: Lisaa would appear as:

You can also access the drive through a shortcut on your desktop called Home Drive and looks like this:

From off campus, you can access your Home Drive through Citrix https://ehr.mahec.net

Citrix Home Drive – Remote App will allow you to browse your +SHARES+ to access shared materials, or work with your own personal documents in this space.  You may also launch Word, Excel, etc. to create new documents and save to your Home Drive.

It is highly recommended that you save your files to your drive or a share so that it gets backed up.  If you save files to your MAHEC device (local), then if the hard drive fails you will lose the data.

Accessing MAHEC File +SHARES+

You have a +SHARES+ folder in your Home Drive that IT created with shortcuts to Departmental and Organization shared directories for your role.

Office 365 – Release Email from Quarantine

Office 365 email has filters in place to protect users from spam and malicious email like phishing scams. 

Messages caught by the filters are placed in quarantine for your and MAHEC’s protection.  Users will receive a Spam Notification message once a day, notifying them of any messages that have been placed in quarantine. Any legitimate mail caught by mistake can be released directly from this message or from the quarantine portal (see details below).

Mail left in quarantine will automatically be deleted after 15 days.

Handling Quarantined Email

Legitimate  messages placed in quarantine may be released into your inbox one of two ways:

Users can check the quarantine portal anytime or whenever they are missing expected email.

From the spam notification message:

If you receive mail that has been placed in quarantine you’ll receive a message like that shown in image below.  The following options will be available to you by clicking the respective links in the message or you can choose to do nothing.

  • Release to Inbox – message is removed from quarantine and placed in your inbox.
  • Report as Not Junk – Microsoft is sent a copy of message to be analyzed.  Doing this tells Microsoft that the message isn’t junk however, it does not guarantee that the message will not be placed in quarantine the next time it is received.
  • Do nothing – message is left in quarantine and deleted automatically after 15 days.

From the Office 365 Security & Compliance Center:

Quarantined email can also be handled in the Office 365 Security & Compliance Center.

  1. Go to https://protection.office.com/#/quarantine.  
  2. Click Threat management  and then click Review.
  3. Click Quarantine (any where in the box).
    A list of your emails in quarantine are displayed.
  4. Click any message to select it, then choose from the options given:
    • Release message – message is removed from quarantine and placed in your inbox.
    • View message header – Choose this link to see the message header text.
    • Preview message – Shows a preview of the message with all links disabled.
    • Download message – Downloads a copy of the email in a .eml format which can be opened by Outlook.
    • Remove from quarantine – After you click Yes in the warning that appears, the message is immediately deleted.

Report Phishing or Junk

What’s Junk email?

Junk email messages are typically referred to as spam. These are messages that you don’t want to receive that may be advertising products you don’t use or find offensive. If you choose the Junk option, a copy of the message may be sent to Microsoft to help update our spam filters, and the message will be moved from your Inbox to your Junk Email folder. 

What’s phishing?

Phishing is the practice of luring you into disclosing personal information, such as bank account numbers and passwords. Often phishing messages look legitimate, but have deceptive links that actually open fake websites. If you select Phishing, a copy of your message may be sent to Microsoft to help update our filters, and the message will be moved from your Inbox to your Junk Email folder. 

Report a message in Outlook Client

If you choose the Report Message button on the ribbon, you’ll see several different options; 

  • Junk
  • Phishing
  • Not Junk


If you choose Junk, Phishing, or Not Junk, you’ll have the option to send a copy of the message to Microsoft, along with your classification of the message. This is optional, but helps Microsoft and MAHEC Administrators to block or allow these types of

  • For messages in the Inbox or any other email folder except Junk Email, use either of the following methods to report spam and phishing messages:

    Select the message, click Junk on the toolbar, and then select Junk or Phishing.

  • Select one or more messages, right-click, and then select Mark as junk.
  • In the dialog that appears, click Report. If you change your mind, click Don’t Report.

  • The selected messages will be sent to Microsoft for analysis. To confirm that the messages have been submitted, open your Sent Items folder to view the submitted messages.

How to Reset Your Password on a MAHEC Device When Offsite

  • Close all applications including Outlook
  • Go to account.mahec.net
  • Click Reset my password
  • Follow prompts to reset password
  • Connect to Global Protect (VPN) with new password
  • Once Global Protect (VPN) is connected lock your MAHEC Device (Ctrl – Alt – Del and choose lock computer),  then unlock by entering your new password and this will update the local password.
  • Once your local password is updated, then REBOOT your MAHEC Device before accessing any applications

How to Access MAHEC Voicemail While Off-Campus

MAHEC provides a means for voicemail users to check for messages while away from the office.

The access phone numbers for the MAHEC Cisco Unity Voicemail System are:

828-257-4495 or 828-210-0067

When connected, you will hear a greeting that states

“If you have a mailbox on this system, press the Star Key (*) now”

After pressing the Star Key (*), you’ll need to:

“Enter your ID followed by pound (#)”

Your ID is your 5-DIGIT extension number. (That’s right, FIVE Digits)

Next, enter your PIN. This is the Personal Identification Number that you normally use to check for voicemail messages.

Once you have successfully completed these steps, you’ll be able to listen to your mailbox and perform a variety of mailbox administration functions.

If you forget the backdoor number (or your 5-Digit Extension number), you can also call your office number and press the Star Key (*) as soon as you hear your greeting. Then, follow the same procedure as outlined above.
